Administrative matters

One of the initial steps upon your arrival should be taking care of important administrative matters. This includes registering with the local registration office, applying for a tax number and a social security number, and potentially setting up a bank account. These documents are crucial for your legal and financial security.

Also, ensure that you have correctly filled out all necessary employment papers and contracts. Familiarize yourself with your rights and obligations as an employee in your new country, including working hours, minimum wage, and health and safety regulations. Register with a local doctor and learn about the healthcare system in your new home. Clarify whether you need health insurance and understand how you'll receive medical care in case of illness.

Mandatory residence registration

  • You are legally required to register at the local municipality office within three days. You can obtain the registration form from the human resources office or through the download link provided below.

  • Non-Austrians from EEA contract states (as listed below) are legally obligated to register with the responsible branch office (Ministry of Foreign Affairs) after three months of employment.

    The contracting parties of the European Economic Area (EEA) are the 27 EU member states:
    ❍ Belgium, Bulgaria, Denmark, Germany, Estonia, Finland, France, Greece, Ireland, Italy, Croatia, Latvia, Lithuania, Luxembourg, Malta, Netherlands, Austria, Poland, Portugal, Romania, Sweden, Slovakia, Slovenia, Spain, Czech Republic, Hungary, and Cyprus
    ❍ Iceland, Liechtenstein, Norway, and Switzerland also have agreements with the EEA.

    For your EEA registration, the following documents are required:
    ❍ completed, signed application form & pay slips
    ❍ copy of passport & an additional passport photo
    ❍ copy of residence certificate (registration form)
    ❍ copy of the E-Card (health insurance card)
    ❍ The fee amounts to € 15.00

    EEA registration offers you the following benefits:
    Only EEA citizens can claim social benefits. So if you want to receive housing allowance, family allowance or unemployment benefit in Austria at a later date, your registration will be valid for ten years!

    You can also apply for a photo ID or a permanent residence card. While not mandatory, this can, for instance, make administrative procedures easier for you.

Good to know...

  • If you are unable to come to work due to sickness or other reasons (e.g., family-related), please notify your employer immediately and directly (department head or HR department/your general manager if you cannot reach your department head, etc.).

  • Holidays are regular working days, but if you work on a holiday, the hours worked will be credited to your time account.

  • Medical certificate
    After informing your employer (or department head, general manager, etc.) about your illness, please consider the following:

    ❍ An official medical certificate is required starting from the first day of sick leave. This can only be obtained from a doctor who confirms the duration of your inability to work. The HR department needs this confirmation promptly to report your sick leave. You can either bring the certificate in person or send a clear picture via WhatsApp to your department head or the HR department.
    ❍ Remember to timely submit your medical certificate to the HR department once you are fit to return to work!

  • Work accident
    Everyone working in Austria is covered by AUVA (General Accident Insurance Institution) for work-related accidents. As an employer, every company is legally obliged to report every work-related accident, regardless of whether it is a minor or major injury. This is necessary to cover the costs in case of subsequent complications or if a later sick leave is related to this accident.

    Have you been injured at work? Please report it immediately to your employer (or the HR department or your department head). If your injury is severe enough to potentially lead to sick leave, make sure to contact your general practitioner. Without a doctor's certificate, you cannot declare sick leave!

    Important – an accident that happens on the way to or from work is also considered a work-related accident! Always report it.

    Private accident
    In Austria, there is no insurance coverage provided by the employer for private accidents. It is up to you whether you decide to take out private accident insurance or not.

  • Anyone who works and earns money in Austria is socially insured and contributes accordingly. The Austrian Public Health Insurance (ÖGK) collects these contributions and forwards them to the appropriate authorities. It is therefore the largest hub for all social security contributions and other social levies.

    The social insurance contribution includes the following:
    ❍ health insurance
    ❍ pension insurance
    ❍ accident insurance (paid y the employer)
    ❍ unemployment insurance
    ❍ as well as other levies and contributions, such as the chamber levy or the housing benefit contribution

    Roughly 18% of your gross wage or salary is deducted each month as social insurance contributions. The employer also pays social insurance contributions on your behalf. These are slightly higher in total.

    Mandatory insurance

    Mandatory insurance applies to:

    ❍ almost all employed individuals (see also under employment types)
    ❍ the majority of self-employed individuals
    ❍ recipients of unemployment benefits
    ❍ pension recipients
    ❍ family members of the mentioned groups

    Employees with an employment contract and notice of employment are automatically covered by social insurance. Employers take care of the registration with the insurance institutions. The insurance contributions to be paid by employees are deducted monthly from the gross salary or wage and, together with the contributions owed by the employers, are transferred to the insurance agencies.

    A voluntary health and pension insurance is possible for all individuals. For certain services, individuals may be responsible for payment themselves (e.g., private doctors, private hospitals, dental treatments such as orthodontics, dental bridges, etc.). However, typically, at least a part of the expenses is reimbursed by the health insurance.

    In case of a hospital stay, each patient is required to pay a specific amount per day of stay.

  • You need to submit the application for an E-Card yourself. This card is necessary when you go to the doctor and for sick notes.

    When you start working in Austria for the first time, your employer will provide you with your social insurance number after your first week of work. You can also find it on the registration document you received along with your employment contract (xxxx - and your date of birth). You will need this number to schedule an appointment for your E-Card application.

    To apply, you need to schedule an appointment online and travel to Kufstein.

    Here's how you request an appointment:
    ❍ visit the website: www.Chipkarte.at
    ❍ click on E-CARD APPLICATION (E-CARD BESTELLUNG) and then on www.chipkarte.at/foto
    ❍ then click – I do NOT have Austrian citizenship
    ❍ select registration office - click on Tyrol
    ❍ and then, under the location Kufstein, choose to schedule an appointment online.


    Schedule an appointment online
    The E-card photo registration can only be arranged by scheduling an appointment beforehand electronically.
    Click on schedule an appointment online, choose Tyrol again, then PI Kufstein, and enter your details ("address" means your employer's address). You can select an available date by clicking on "Show possible appointments". The appointment confirmation will be sent to you via e-mail.

    You will then need to personally visit the registration office and bring the following documents:
    ❍ a recent passport photo (not older than 6 months)
    ❍ your old E-Card without a photo or your Austrian social security number ❍
    ❍ passport/photo ID
    ❍ registration certificate from the municipality office of Fieberbrunn

    Your E-Card will be sent to the hotel afterward, and you can collect it at the reception.
